In the competitive construction industry, securing a winning bid is just one piece of the puzzle; operational clarity is equally critical. Contractors are increasingly recognizing the importance of data accuracy, interconnected systems, and financial oversight as key tools to safeguard their profit margins throughout a project.

Profit loss doesn't typically happen overnight. Instead, it often seeps away through unnoticed variances, missed billing opportunities, and unexpected costs. Without the right visibility, these issues can linger until projects conclude, ultimately impacting profitability.

MAG Builders faced these challenges head-on. With financial and project data scattered across multiple platforms, their accounting and project management were disjointed. To tackle this, they migrated to NetSuite’s integrated system, allowing for a comprehensive view of project metrics. Now, via consolidated reporting and real-time tracking of work-in-progress (WIP), the firm can monitor projects dynamically rather than waiting for month-end reviews.

“Previously, we identified problems after the fact. Now, we can observe developments during the project, enabling proactive decision-making that protects our bottom line,” stated Chris Booker, CFO of MAG Builders.

This transition underscores a more extensive concern for contractors: profit diminishes before project closeout. Labor costs might outpace initial estimates, approved change orders may go unbilled, and expenses could be accounted for prior to project reports catching up with field operations.

AI as a Proactive Solution

Contractors are increasingly bridging the visibility gap by utilizing AI to connect their project and financial data. Rather than replacing essential human insight, AI is designed to highlight crucial information that allows project managers and finance executives to intervene while there’s still time to amend any issues.

Take Lam-Wood Systems, for example. This wood supply company tackled similar challenges in WIP reporting and cost transparency then transitioned to NetSuite's AI-enhanced cloud ERP. Their monthly WIP reports, once a three-day endeavor, are now generated instantly for all teams.

“We have improved control over our margins since we can monitor changes in real-time and address them before they escalate,” remarked James Johnson, CFO of Lam-Wood Systems.

For contractors managing tight margins, timing is critical. Discovering a labor variance mid-project can lead to immediate staffing revisions, while catching an unbilled change order before closeout maximizes revenue potential. Additionally, identifying material cost trends can guide buying or scheduling strategies. The ability to see these changes early allows contractors the necessary flexibility to maintain profitability and make informed financial decisions.

Moreover, AI aids finance teams by automating processes like invoice matching and billing checks, honing in on only those exceptions that warrant attention. This minimizes manual workflows, freeing finance teams to concentrate on margin analysis, cash flow forecasting, and strategic business planning.

Turning Insights into Action

Integrated systems provide a unified view of project data for managers, finance leaders, and field staff alike. When everyone operates from current financial and operational insights, it optimizes decision-making throughout the project lifecycle.

Austex Fence and Deck, an outdoor service provider specializing in fencing, utilizes NetSuite’s Field Service Management to synchronize field schedules and manage material procurement. Daily crew outputs inform subcontractor planning, ensuring only necessary materials are ordered for immediate tasks.

According to David Lockett, owner and CEO of Austex Fence and Deck, this transformation has led to improved cost management as projects progress. “We are running a more efficient operation with enhanced cost control throughout the work process,” he noted.

The consistent theme among these cases is the vital link between field operations and financial knowledge. AI’s real potential emerges when it analyzes current operational and fiscal data together, rather than depending on outdated reports.

Given the tightening cost constraints across the construction sector, there is little tolerance for late-discovered financial surprises. A project might seem profitable until a detailed review reveals missed billings or cost overruns.

By flagging potential issues early, AI empowers project managers, finance leaders, and field supervisors to take timely corrective actions—ultimately safeguarding profitability prior to project closure.
